1. Who we are
This website is operated by Experia Group Insurance Brokers Inc., doing business as Experia Group (“we”, “us”, “our”). Our address is 1224 County Road 22, Unit 2 PO Box 59 Emeryville, Ontario N0R 1C0.
This policy explains how we handle personal information collected through https://experiagroup.ca, our forms, our emails and text messages, and our client relationships.
We’re responsible for the personal information under our control, including information we pass to service providers who work for us. We follow Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and Canada’s Anti-Spam Legislation (CASL).
For residents of Quebec, we also follow the Act respecting the protection of personal information in the private sector. Our person in charge of the protection of personal information is named below.

2. What we collect
Information you give us
- When you contact us or request a quote: your name, email, phone number, company, and anything you write in your message.
- When you subscribe: your email address and name, and the topics you choose.
- When you book a call or become a client: contact and billing details, project information, and our communications with you.
Information collected automatically
When you visit our website, cookies and similar tools may record the pages you view, how you arrived, your device and browser type, your approximate location based on your IP address, and how you interact with the site. Which of these tools run depends on the choices you make. See Cookies and tracking.
Information from others
We may receive information from advertising platforms (usually in aggregated form), from people who refer you to us, and from public sources such as business directories and professional profiles.
Please don’t send us sensitive information, such as health details, government ID numbers or banking information, through our website forms. We don’t need it at that stage.
3. How we use it
We use personal information only for the purposes we explain here, or purposes you’d reasonably expect:
- To respond to your inquiry and give you information or a quote you asked for
- To provide our services and manage our relationship with you, including scheduling, invoicing and support
- To send you marketing emails or text messages, but only if you’ve agreed or the law otherwise allows it (see Email and text messages)
- To understand how our website is used so we can improve it (analytics cookies, if you allow them)
- To measure our advertising and show you relevant ads (marketing cookies, if you allow them)
- To protect our website and business from spam, fraud and security threats
- To meet our legal, tax and accounting obligations
If we want to use your information for a new purpose, we’ll tell you first and, where required, ask for your consent.
AI and automated tools
We use AI-assisted tools for some tasks, such as organizing inquiries, summarizing notes and drafting replies. A person on our team reviews anything important before it is sent or acted on. We don’t use automated tools to make decisions about you that have legal or similarly significant effects. Where the option is available, we choose providers and settings that don’t use your information to train their models.
4. Cookies and tracking
Cookies are small files stored in your browser. We also use similar tools, including tracking pixels, tags and local storage. We call all of these “cookies” in this section. We group them by what they do:
- Strictly necessary: required for the site to work. Always on.
- Functional: enable features like chat, booking and video.
- Analytics: help us understand how the site is used.
- Marketing: let us and our ad partners measure ads and show relevant ones.

5. Email and text messages
We send marketing emails only to people who asked for them, or where the law allows us to because of an existing business relationship.
Under CASL, an existing business relationship covers two years after your last purchase or contract with us, or six months after you inquire. Before that period ends, we’ll ask whether you’d like to keep hearing from us.
Every marketing email identifies us, includes our mailing address, and has an unsubscribe link. We process unsubscribe requests promptly, and within 10 business days at most. After you unsubscribe, we keep your email address on a suppression list only so we don’t email you again.
Our emails may contain a small tracking pixel and tracked links. These tell us whether an email was opened and which links were clicked, which helps us send more useful content. Most email apps let you block images to prevent this.
You’ll still receive transactional or service messages, such as replies to your inquiry, invoices and project updates, even after unsubscribing from marketing.
6. Who we share it with
We don’t sell or rent your personal information. We share it only with trusted service providers who help us run our business. Our contracts require them to protect it and use it only for the work they do for us. These include:
- Website hosting: WordPress / High Level Inc.
- CRM, email and text messaging: HighLevel (GoHighLevel)
- Analytics and advertising: Google (Analytics, Ads) and Meta (Facebook, Instagram)
- Professional advisors: accountants and lawyers, under confidentiality obligations
We may also disclose information when the law requires it, to protect our rights or someone’s safety, or as part of a sale or merger of our business. In a sale or merger, the buyer must continue to protect it as described here.
7. Where it’s stored
Some of our service providers store or process information outside Canada, including in the United States. While it’s there, it’s subject to the laws of that country and may be accessible to its courts, law enforcement and national security authorities. We remain responsible for it, and we use contracts to require a comparable level of protection.
Before transferring personal information of Quebec residents outside Quebec, we assess whether it will be adequately protected, as Quebec law requires.
8. How long we keep it
- Inquiries that don’t lead to working together: up to 24 Months (e.g. 24 months), then deleted
- Client records: for the length of our relationship, plus as long as tax and legal rules require (usually up to 7 Years (e.g. 7 years))
- Marketing lists: until you unsubscribe or your consent expires. Suppression records are kept so we honor your choice.
- Cookies: for the durations listed in the table above
When we no longer need information, we delete or anonymize it.
9. How we protect it
We use reasonable safeguards appropriate to the sensitivity of the information. These include encrypted connections (HTTPS), access controls, two-factor authentication on our business systems, and limiting access to team members who need it. No system is perfectly secure. If a breach creates a real risk of significant harm, we’ll notify you and the appropriate regulators as the law requires.
10. Your rights and choices
You can ask us to:
- Access the personal information we hold about you and learn how it has been used and shared
- Correct information that’s inaccurate or incomplete
- Withdraw consent to a use of your information, such as marketing, at any time
- Delete your information, unless we’re required to keep it by law
- Opt out of marketing emails, texts and non-essential cookies (see above)
We’ll respond within 30 days. Access is free in most cases, and we’ll tell you in advance if any cost applies. If you’re not satisfied with our response, you can complain to the Office of the Privacy Commissioner of Canada at priv.gc.ca or 1-800-282-1376.
Quebec residents can also contact the Commission d’accès à l’information du Québec at cai.gouv.qc.ca.
How to make a request: email hello@experiagroup.ca with the subject “Privacy request” and tell us what you’d like us to do. We’ll confirm your identity before acting, usually by replying to the email address we have on file. You can also ask someone to make a request on your behalf with your written permission.
11. Children
Our website and services are meant for adults and businesses. We don’t knowingly collect personal information from children. If you believe a child has given us their information, contact us and we’ll delete it.
12. Changes to this policy
We’ll update this policy when our practices or the law change, and revise the “Last updated” date above. If we make a significant change, we’ll ask for your cookie choices again or let you know by email or on our website.
